      Clinic Policies     

Clinic Policies are put into place to ensure effectiveness of communication, understand responsibilities of the client, practitioner and third party involvement and how your information is being kept secured and confidential. Each clinical policy below highlights topics such as Cancelling Appointments, Late Arrival, Missed Appointments, Privacy Policies and Direct Billing. During the process of online booking there will be a series of mandatory forms to complete including declaration to these Clinical Policies as described below.​

Your Massage Therapist is dedicated to your health care and values your time. Mutual understanding and respect of each others time is key to a healthy professional relationship between both the client and the Massage Therapist.  Your attendance is our livelihood and we are dedicated to honor your time and health care needs.

Privacy Policy

I authorize the clinic and its associated health professionals to collect my personal and medical information as documented in the Health History Intake Form. In addition, I authorize the clinic and its associated health professionals to communicate with my family doctor and/or referring doctor as deemed necessary for my beneficial treatment. I also understand that my personal and medical information is confidential and will only be disclosed to third parties with my written permission. I am also aware that all intake forms and medical charting information kept on the Jane App is PCI-Compliant under the PCI Security Standards Council.​ For more information, click the link below. Mandatory health history forms are updated every 12months, however if there are any changes to your current health status, health care providers or personal information, please inform us of these changes to ensure accuracy of your information.

Understanding Circle of Care: A Registered Massage Therapist (RMT) will work with you, as the client or decision maker on behalf of the client, as well as others including health care providers in order to provide safe, effective, and ethical care in order to meet the needs of the client. This is to ensure reasonable steps to understand other care the client may be receiving, ensure the Massage Therapy treatment plan aligns with care provided by others within the circle of care.  Documentation collaboration and professional relationships in a client’s health history record related to the proposed treatment plan includes: reports for examination, tests, consultations or treatments, details of referral(s).  This shall allow others within the circle of care to access the client’s health record where such access is reasonably necessary for healthcare provided unless the client or decision maker has instructed the Registered Massage Therapist (RMT) not to provide such access.  In such, any interferences that may arise between the RMT and those involved in the client’s care that could interfere with the delivery of safe, effective and ethical care, be resolved by taking the necessary actions.  Referrals to another Registered Massage Therapist (RMT), healthcare professional or others with expertise that can address the client’s needs (when appropriate and with client’s consent) be directed appropriately.  Protection of the client’s privacy and confidentiality is our priority and is in accordance with the Standard of Practice: Privacy & Confidentiality.

Direct Billing Policy

Direct billing to insurance companies are available through the use of Telus Health eClaims, Sun Life and ProviderConnect. This service is offered to clients as a courtesy and is not a mandatory service. If your insurance policy does not allow direct billing, this means that they will not pay the Massage Therapist directly, but they will pay you, as the insured member, directly instead.

If there are any reasons why the claim cannot submit successfully, please contact your insurance company directly. If we cannot direct bill to insurance, out-of-pocket payment must be processed after the treatment session. A receipt will be issued to you which you may submit on your own to your insurance provider. We will not have access to your health insurance policy therefore we will not know the dollar amount covered until the claim is processed. If only a portion of the treatment cost was covered by your insurance, the remaining balance dollar amount owing is due on-site after treatment by Visa, Mastercard, Interact Debit, Visa-Debit, AMEX, Debit Mastercard, , Discover, Diners Club, UnionPay, Apple Pay, Google Pay, , Cash, e-transfer.

Cancellation Policy

Your appointment time is reserved specifically  for you. A late cancellation or missed appointment leaves a hole in the therapists' day that could have been filled by another patient. As such, we require 24 hours notice for any cancellations or changes to your appointment without penalty. Patients who provide less than 24 hours notice or miss their appointment entirely, will be charged 50% of the treatment dollar amount.

Missed appointment fees are not billable as a Massage Therapy Treatment and is not billable through your extended health benefits. To avoid this penalty you can alternatively send a friend or family member in replacement in order to fill the scheduled appointment time. When your friend or family member is opting in to fill the appointment time that you are unable to attend, be sure to contact us as soon as possible so administration duties are properly addressed. This allows accuracy for billing, scheduling and charting purposes. Concluding this method, be sure to have your friend or family member create a Jane App account and complete all clinical forms & consents PRIOR to arrival if they are a new patients.

Late arrival to your scheduled appointment time will not allow for an extension of treatment time and will not be discounted.
